ChatGPT for small business means one of two plans in practice: individual Plus accounts that people pay for themselves, or a ChatGPT Business workspace that the company owns. Only Business comes with a data processing agreement (DPA), no training on your business data by default, central billing and SAML SSO, at 21 € per person per month on annual billing (26 € monthly, minimum two users), per the OpenAI pricing page as of 14 October 2026. For a company with 2 to 49 people that is the cheapest way to use ChatGPT in a GDPR-workable way. It stops being enough once the AI is supposed to work with customer data, needs EU data residency or has to see your CRM, tickets and chats with permissions.

This guide answers four questions for teams of 5, 10 and 25 people: which ChatGPT plan, what it really costs per month, what the GDPR requires before the first prompt, and when a shared EU platform is the better buy than individual ChatGPT accounts. The broader decision guide for every type of AI tool is in AI for small business.

Which ChatGPT plan fits a small business?

For any company with two or more people, the answer is ChatGPT Business, or not ChatGPT at all. Free, Go, Plus and Pro are built for individuals, per the OpenAI pricing page: there is no admin console, no shared workspace and no DPA, and content can be used for training unless each person opts out. Enterprise is sold through sales with individual pricing and is aimed at large organisations; what it typically costs and which seat minimums buyers report is covered in ChatGPT Enterprise cost.

That leaves Business. It is self-serve, starts at two users, excludes your business data from training by default and adds SAML SSO, an admin console and a SOC 2 Type 2 audit. Two limits matter for small teams: per the plan comparison, data residency (including EU) is listed for Enterprise, not for Business, and SCIM provisioning is also Enterprise only. Go deserves one more note: OpenAI states that this plan may contain advertising, which rules it out as a work tool for most companies.

Reimbursing private Plus accounts looks like the cheap route (23 € a head, no admin work) and is the one route that does not fit company use. A Plus subscription is a consumer contract between OpenAI and the employee: the company has no DPA, cannot see or delete what was entered and loses the history when the person leaves. As soon as a customer name, an e-mail or an application lands in such an account, you are processing personal data without the contract Art. 28 GDPR requires. It is common: in the Bitkom AI study, 42 % of German companies with 20+ employees know or assume that staff use generative AI the company does not provide. How to find out who does this in your team is in the shadow AI audit.

What does ChatGPT cost for 5, 10 and 25 people?

ChatGPT Business costs a 10-person company 210 € a month on annual billing and 260 € on monthly billing. The calculation is simple because OpenAI publishes per-seat prices with a two-seat minimum and no volume tiers on the self-serve plan: seats times 21 € or 26 €. OpenAI does not state on the pricing page whether the euro prices include VAT, so check the checkout before you budget.

The table also shows Plus for comparison, because that is what many small teams pay today without noticing: expense claims of 23 € per person scattered across credit cards. On top of the seat price, Business and Enterprise plans can buy credits for more access, per the footnote of the pricing page; for normal chat use the seat price is the cost.

What does the GDPR require when a small business uses ChatGPT?

Company size does not change the rules: a five-person agency needs the same three things as a corporation. A DPA under Art. 28 GDPR with the provider, a legal basis for every personal data category you put in, and rules plus training for the people using it. OpenAI offers a DPA for ChatGPT Business, Enterprise and the API via a form, per its enterprise privacy page; for Free, Go and Plus there is none. The same page states that Business data is not used for training by default, that admins control retention and that deleted conversations are removed within 30 days unless the law requires otherwise.

Three details are easy to miss. First, workspace admins in Business can view, export and delete the conversations of their members, per OpenAI. Tell your team before rollout, and in Germany and Austria check whether a works council has to be involved. Second, Business has no EU data residency, so the processing involves a US provider and your DPO will look at the transfer basis; the DSK guidance on AI and data protection is the checklist German authorities themselves use. Third, the EU AI Act has required AI literacy for staff using AI systems since February 2025 (Art. 4), regardless of company size; see AI training obligation. The full ten-point review of the Business plan is in ChatGPT Business GDPR, the clause-by-clause DPA check in the DPA checklist.

1

Count who already uses ChatGPT

Ask openly or survey anonymously which accounts exist, who pays for them and what goes in. That number is your real seat count, not the headcount.

2

Pick Business, not reimbursed Plus

Start a Business workspace with the people from step 1, on monthly billing for the first three months so you can still adjust.

3

Sign the DPA before the first real prompt

Request the DPA through the form of OpenAI, file it with your records of processing and note which data categories are allowed.

4

Write one page of rules

Allowed: drafts, translations of public material, code, research. Not allowed without approval: customer records, health data, applications. A template is in the AI policy template.

5

Train and document

One hour per person on what the tool does, where it errs and what must not go in, with a dated attendance list. That covers the AI literacy duty under Art. 4 AI Act for most small teams.

6

Review after 90 days

Check how many seats are used weekly and whether people now want to work with customer data. If yes, that is the point to compare a platform with EU residency and permissions.

Where ChatGPT is the better choice, and where a shared EU platform wins

ChatGPT Business is the better choice when your team wants the newest OpenAI models first, works mostly on generic content and does not need EU residency. It has real strengths that no alternative here matches one to one: the product most people already know, OpenAI models and features as soon as they ship, Codex for developers, connectors to Microsoft 365, Google Drive, Slack and GitHub, and a published self-serve price. If your people write, translate, research and code, a Business workspace with a DPA and one page of rules is a sound decision.

A shared EU platform wins when the value of the AI comes from your own data. Then three questions decide: does the data stay in the EU, can you use models from several providers instead of one, and does the AI respect who may see which customer, deal or ticket? This is the difference between an AI chat and a context layer, and it is where the alternatives below differ from ChatGPT and from each other.

ChatGPT Business is the better fit when

  • Your team wants OpenAI models and features first

  • Work is mostly drafts, translation, research and code

  • You need Codex or the Microsoft 365, Drive, Slack and GitHub connectors

  • Your DPO accepts a US provider with a DPA and no EU residency

  • Everyone works at a desk

A shared EU platform is the better fit when

  • Customer, HR or health data should be processed in the EU

  • You want models from several providers, including European ones

  • The AI must answer from CRM, tickets and chats with per-person permissions

  • Part of the team works without a desk and lives in WhatsApp or Teams

  • You want company knowledge that stays with the company, not in personal accounts

ChatGPT alternatives for small teams: prices compared

Five European platforms are realistic for a team of 2 to 49 people, and they price in three different ways. Teamo AI, DeutschlandGPT and Logicc charge a flat price per person; meinGPT separates a per-person platform license from a model budget; nele.ai charges no per-person fee at all and sells a monthly credit volume for the whole company. The table compares the published entry plans, all as of 14 October 2026; a longer list with enterprise vendors is in ChatGPT alternatives for the Mittelstand.

When one shared EU platform beats individual ChatGPT accounts

Individual ChatGPT accounts make each person faster; a shared platform makes the company smarter. The difference shows in month three: in individual accounts, every good prompt, every customer summary and every lesson learned sits with one person and leaves with them. In a shared platform the AI answers from the systems the team already uses, knows who may see what, and the knowledge stays with the company.

This is what we built Teamo AI for. It connects any number of systems (Slack, Teams, Jira, Notion, HubSpot, Pipedrive, calendar, and in-house APIs via the AI integration assistant), runs agents across them with approval steps for anything that leaves the company, keeps audit logs and applies permissions per person and team. It uses models from OpenAI, Anthropic and Google plus Mistral from Europe, is EU-hosted with a DPA and never trains on customer data. For a 10-person team it costs 99.70 € a month at 9.97 € per person, with no minimum seats. If you are moving off ChatGPT, the switching guide covers export and parallel running; how Copilot compares is in Copilot vs ChatGPT.

Teamo AI: no minimum seats, no sales call

One shared AI for the whole team at 9.97 € per person: connected to Slack, Teams, Jira, Notion, HubSpot, Pipedrive and your calendar, with permissions per person, approvals and audit logs, EU-hosted with a DPA. 14 days free, no credit card, your team invited in minutes.

ChatGPT for small business in five sentences

The short version

- For 2 or more people, the only ChatGPT plan that fits company use is Business: 21 € per person on annual billing, 26 € monthly (OpenAI, 14 Oct 2026).
- That is 105 € a month for 5 people, 210 € for 10 and 525 € for 25 on annual billing.
- Reimbursed private Plus accounts come without a DPA and do not fit company use as soon as personal data goes in.
- Business has a DPA and no training by default, but no EU data residency; admins can see member conversations.
- When the AI should work with customer data and your own systems, in the EU and with permissions, a shared European platform such as Teamo AI (our product, 9.97 € per person) is the better buy.
