The best AI platform for a small business is the one your team still uses in month three: it answers from your own data, respects who may see what, connects to the tools you already run without an IT project, and charges per seat with no minimum contract. Feature lists do not predict that. Seat floors, hosting, permissions and setup effort do.
This is a decision guide, not a top-10. The listicles that rank for this query put ChatGPT next to Canva next to Zapier and call it a comparison. If you run a company of 5 to 500 people and need to decide what to pay for, you need six criteria, a size-based recommendation and a shortlist with the numbers vendors leave off their pricing pages. For the strategy behind the purchase, read the AI strategy for small business first; this article picks the platform.
The six criteria that decide it (and the ones that do not)
Model quality is not on the list. Every serious platform gives you GPT, Claude or Gemini class models, and the gap between them closes every quarter. What differs by a factor of ten between platforms is everything around the model, and that is where the money goes wrong: the Bitkom 2026 survey of 604 German companies found 33% paying more than expected, MIT NANDA found 95% of pilots without measurable impact, and Recon Analytics measured that only 35.8% of paid Copilot seats are used regularly. Rank your shortlist on these six, in this order. Two of the six need a written decision rather than a feature: who may put which data into which tool belongs in an AI usage policy, and the question of whether you assemble the platform yourself is answered in internal AI assistant: build vs buy.
Red flags in a demo. Ask to see a user who is NOT allowed to see a document ask the AI about it. Ask what happens when the model provider is down. Ask for the price with 12 seats, month to month. Ask how long connecting your CRM takes and who does it. A vendor who cannot answer all four on the spot is selling a chat window with a logo.
Which of the six criteria is your bottleneck?
The free AI readiness assessment scores data, tools, skills and governance in 12 minutes and tells you what to fix before you pay for a platform. Anonymous, EU-hosted.
Which type of AI platform for which company size
Company size changes the answer more than industry does, because it changes who administers the system and whether anyone has time to. A five-person studio needs a good model and a shared account. A 300-person company needs permissions, a works agreement and someone who owns the rollout. The table gives the type of platform, the price band you should expect and the trap at each stage. The layer that appears from 25 people on is the AI context layer: the part that knows your company while the model underneath stays replaceable.
| Company size | What you need | Platform type | Expected price band | The trap |
|---|---|---|---|---|
| 5 people | A capable model, shared prompts, no data leakage to training | Business tier of a model vendor (ChatGPT Business, Claude Team) or a small EU platform | 20 to 30 € per seat/month | Paying per seat for people who use it twice a month |
| 25 people | Answers from your own documents and CRM, first standing agent, one admin | Context-layer platform with self-service integrations, no seat minimum | 25 to 40 € per seat/month plus usage | Buying a suite add-on (Copilot, Notion AI) that only sees that suite |
| 100 people | Per-row permissions, audit log, SSO, several departments with different tools | Multi-LLM platform with permission model and audit logs, EU-hosted | 30 to 50 € per seat/month plus usage | Enterprise floors: ChatGPT Enterprise at 150 seats and Glean at about 100 are just out of reach or just barely in |
| 300 people | All of the above plus works council documentation, AI Act training records, exit plan | Full AI operating system; see what that means | Negotiated, but still no seat floor on the EU platforms | Copilot Business ends at 300 users: above it you pay the 30 $ enterprise price |
The shortlist: 8 options with the numbers vendors leave out
Prices are list prices as of September 2026 unless marked reported; review counts are from G2 and Trustpilot as quoted by secondary sources, because the review sites block direct access. Two things stand out. The cheapest entry tickets (ChatGPT Business, Copilot Business) buy a chat window, not a platform. And the platform with the best reviews on paper, Langdock, collected nine negative Trustpilot reviews in four months after it changed its usage limits mid-contract in April 2026. Read the Langdock alternatives piece before signing.
| Option | Price | Seat minimum | EU hosting / DPA | Own-data permissions | Integrations and agents | What reviews say |
|---|---|---|---|---|---|---|
| ChatGPT Business | 20 $ annual / 25 $ monthly per seat | 2 seats | US company, EU residency option | Workspace level | Per-user connectors, custom GPTs | G2 4.6 (2,200+ reviews, consumer-heavy); lost chats and memory a recurring theme |
| Microsoft 365 Copilot Business | 21 $ per seat (18 $ promotional to end of 2026), plus M365 base plan | None, capped at 300 users | US company, EU data boundary | Inherits M365 (oversharing risk) | M365 only; agents via Copilot Studio credits | G2 4.4; Gartner: 6% of pilots reach deployment; 35.8% regular use of paid seats |
| Google Gemini (Workspace) | Included in Business plans from 14 $ per seat | 1 seat | US company, EU data regions | Inherits Workspace | Workspace only | Capterra 4.6; complaints about confident wrong answers and context loss |
| Langdock | Per seat, public price list | None | Germany | Workspace and folder level | EU tool focus; assistants with limited actions | Trustpilot 2.2 (9 of 10 negative since April 2026 usage limits); zero OMR reviews |
| Glean | 50 to 75 $ per seat (reported by competitors) | About 100 seats | US company | Yes, permission-aware search | Strong connectors, no self-service | G2 4.5; 'pricing made it a hard sell for a 180-person company' |
| ChatGPT Enterprise | 45 to 75 $ per seat, quote only (reported) | About 150 seats, annual prepaid | US company, EU residency option | Workspace level | Connectors; customer-managed keys disable them | Out of reach below 150 people by design |
| Self-hosted (Open WebUI, LibreChat, n8n) | Licence zero; platform time is the cost | None; Open WebUI branding lock above 50 users | Wherever you run it | You build it | You build it; n8n has no undo | Best for firms with an in-house engineer; see real self-hosting costs |
| Teamo AI | Per seat, public, usage-based model costs on top | None; 14-day trial without a sales call | Yes | 7-ring model incl. per-row access | Integrations install from the chat in minutes; agents created in the chat | Multi-LLM (OpenAI, Anthropic, Google, Mistral, Aleph Alpha); young product, small review base |
The cheapest honest comparison: multiply the seat price by the share of people who will actually use it weekly. At 35.8% regular use, a 21 $ Copilot seat costs 59 $ per active user. A 35 € seat used by 80% of the team costs 44 €. Adoption, not list price, sets the real cost.
Most secure AI platform for business: what secure actually means
Secure means four concrete things for a small business, none of which is a certification logo: your data is not used for training, it is processed under a contract you can enforce in your jurisdiction, the AI cannot show a person what that person may not see, and you can prove afterwards what the AI read and did. SOC 2 and ISO 27001 badges say the vendor runs a tidy shop; they say nothing about the third and fourth point.
The shadow AI audit matters here too: the most common security incident in small companies is not a breach of the platform, it is staff pasting customer data into a personal ChatGPT because the company tool is worse. A platform your people prefer is a security control. If your shortlist has come down to the two suite assistants, ChatGPT Enterprise vs Copilot settles it by company size, price and EU data handling.
A suite add-on (Copilot, Gemini, Notion AI) is right when
Nearly all your work lives inside that one suite
You have no CRM, ticket system or second chat tool to connect
Your permissions in the suite are already clean
You want zero new logins
A standalone platform is right when
Your knowledge is spread across 3+ tools (chat, CRM, tickets, documents)
You want to choose or swap the model provider
You need agents that act across tools on a schedule
EU processing under an EU contract is a requirement, not a preference
How to decide in two weeks, using the trial
Write down the 20 questions your team actually asks
Collect them from the last month of chat and mail: what did we quote client X
, where is the onboarding checklist
. These are your test set. Generic prompts test the model; your questions test the platform.
Connect one real system on day one
Your CRM or your document store. Time it. If it takes more than an afternoon or needs a consultant, that is the answer to criterion four.
Run the permission test with a restricted user
Create a second account without access to one folder and ask about its contents. An answer is a fail.
Set up one standing agent
The weekly pipeline summary or the open-invoice reminder. Note whether it needed a builder, a licence or a developer.
Ask for the DPA, the sub-processor list and the export format
In writing, during the trial. The speed and completeness of the answer predicts the support you will get later.
Count who used it in week two
Not who logged in once. Who asked a real question. That share times the seat price is your real cost per active user, and your decision.
Teamo AI: no seat minimum, no sales call
Connect Slack, Teams, Jira, Notion, HubSpot, Pipedrive and your calendar from the chat, set who sees what, and start your first standing agent in the same session. Multi-LLM, EU-hosted, per seat. 14 days free, no credit card, your team invited in minutes.
What small businesses can skip
You do not need an enterprise contract, a platform team, a vector database project or a custom model. You do not need to compare 15 vendors; the 15-vendor comparison exists if you want it, but three trials against your own 20 questions decide faster. And you do not need to wait for the perfect data: the AI workflows guide for small business shows the five processes that pay back first with the data you already have.
Best AI platform for small business in five sentences
Rank platforms on six criteria, not on model quality: seat floor, EU hosting with a DPA, permissions on your own data, integrations that install without IT, agents without a builder licence, and exit. Under 25 people a Business tier of a model vendor is enough; from 25 up you need a context-layer platform; from 100 up you need permissions and audit logs. ChatGPT Enterprise (150 seats) and Glean (about 100) are out of reach by design. Real cost is seat price divided by the share of people who use it weekly. Decide with a two-week trial against your own 20 questions.
AI tools for small business vs an AI platform: when a tool is enough
A tool does one job for one person: a writing assistant, a meeting summariser, an invoice reader. A platform does jobs across people and systems: it answers from your shared data, respects who may see what and runs tasks on a schedule. Below about ten people, three good tools and a shared policy are enough, and paying per seat for a platform that nobody administers is the most common waste we see. From roughly 25 people the tool collection starts to cost more than it saves: every tool has its own login, its own data copy and its own gap in the audit trail, and nobody knows what a colleague already asked.
The tell is not headcount but repetition. When the same question gets asked in three tools by three people, or when a weekly task (pipeline summary, overdue invoices, ticket triage) is done by hand every Monday, you have outgrown tools. That weekly task is exactly what a standing agent does in an agentic operating system, and the reason the platform row in the table above costs more than the tool row.
| AI tools (3 to 5 subscriptions) | AI platform | |
|---|---|---|
| Fits | Under about 10 people, mostly individual work | From about 25 people, or earlier with a CRM and tickets |
| Monthly cost | 20 to 60 € per person across tools | 25 to 40 € per seat plus model usage |
| Knows your company data | Only what each person pastes in | Yes, with permissions per record |
| Runs tasks on a schedule | No | Yes, with approval before any write |
| Audit trail and GDPR paperwork | One per tool | One |
